How to Label Fungal Specimens for Storage

A dried cap in a packet, a spore print, or a carefully maintained culture can lose most of its value the moment its origin is forgotten. Knowing how to label fungal specimens turns a random collection into a traceable reference archive. KEEP IT CLEAN: one clear identifier can save you from mixing up similar samples, losing collection history, or making unsupported assumptions months later.

For hobby mycologists, microscopy enthusiasts, and anyone maintaining lab-oriented fungal materials, labeling is not an afterthought. It is the record that tells you what the specimen is believed to be, where it came from, how it was handled, and what you can reasonably do with that information.

How to Label Fungal Specimens Without Guesswork

Start with a unique specimen number. This is the anchor for every label, photo, notebook entry, and storage container. A simple system works best: your initials, the year, and a sequential number. For example, JD-2026-014 identifies the collector, collection year, and specific item without relying on a name that could later change.

Do not use a species name as your only identifier. Fungal identifications can be revised after microscopy, DNA work, consultation, or simply a closer look at the specimen. Write the identification as a working determination, such as Psilocybe sp., possible Amanita species, or unknown agaric. The specimen number remains stable even when the name does not.

Your physical label should be readable without opening the packet, vial, or box. Waterproof archival ink on acid-free paper is a strong choice for dried collections. For vials, slides, and small culture containers, use labels designed for moisture and low temperatures. Ordinary paper stickers can peel, run, or become brittle over time, especially in cold storage.

A good label does not need to be crowded. Put the specimen number, tentative name, date, and storage code on the outside. Keep fuller field notes in a notebook or digital record tied to that same number. Small labels should identify. Your database or collection sheet should explain.

The Details Every Fungal Label Needs

At minimum, record the collection date, collector, locality, substrate, and a preliminary identification. These details create the basic story of the specimen. Without them, even an impressive dried sample becomes difficult to compare, verify, or share responsibly.

Locality should be specific enough to be useful but not reckless. A county, state, nearby public land, elevation, or general habitat may be enough for a personal collection. If a fungus came from a sensitive or protected location, do not print exact coordinates on an outer label. Keep precise location data in a private record if it is appropriate and legal to retain it.

Substrate is one of the most useful details for fungi. Record whether the specimen was growing from hardwood, conifer wood, leaf litter, soil, compost, dung, grass, moss, or another material. If it was associated with a particular tree, name the tree when you can do so confidently. Many fungi look alike until their habitat and substrate are considered.

Also describe the habitat in plain language. Was the area a wet forest edge, a landscaped lawn, a coastal dune, a burned woodland, or a mixed oak forest? Include notable conditions such as recent rain, clustered growth, or whether the specimen was solitary. These observations often matter more than a quick color description made under poor lighting.

For a dried mushroom specimen, capture fresh traits before dehydration changes them. Note cap color and texture, gill attachment, bruising response, odor, stem features, veil remnants, spore print color, and approximate size. Photos taken in the field should use the same specimen number in the file name or image notes. Otherwise, a folder full of mushroom photos becomes another mystery box.

Labeling Spore Prints, Swabs, and Cultures

Spore prints need a different approach because the sample itself may be too small for a detailed label. Use a folded paper packet or sleeve, then mark the outside with the accession number, date, tentative taxon, and source specimen number. If the print came from a fruiting body already stored elsewhere, make that connection obvious. Example: Print JD-2026-014P from dried specimen JD-2026-014.

Avoid placing adhesive tape directly on a delicate print surface. It can pull spores away or introduce debris. Keep the print dry, dark, and protected from crushing. If it was made for microscopy, add the preparation date and whether it was collected from a mature cap. That one detail can explain a weak or inconsistent print later.

For swabs, sterile collection tubes, and agar cultures, include the date inoculated, source material, medium, generation or transfer number, and your initials. A culture label might read: JD-2026-014C, wood-associated collection, MEA, transfer 2, 08/07/26. This makes it easier to track whether a plate is an original isolation, a clone, or a later subculture.

Cultures demand honest labeling. If contamination is visible or suspected, mark it clearly rather than hoping you will remember. Write contaminated, mixed, or questionable directly in the record. Unknown molds and bacteria should not be casually opened or handled, particularly in a home setting. Clean documentation is part of clean work.

Build a Record That Matches the Container

A physical label is only half the system. Maintain one matching record in a notebook, spreadsheet, or collection database. Use the exact same accession number, including punctuation. If the packet says JD-2026-014 and your notes say JD 26 14, errors will eventually happen.

Your full record can include the following information:

  • Accession number and working identification
  • Collection date, collector, and general locality
  • Habitat, substrate, and associated plants
  • Fresh morphological notes and spore print color
  • Photo file names, microscopy notes, and preservation method
  • Storage location, such as cabinet A, box 3, packet 12

For specimens obtained from another collector or a commercial laboratory source, document the source and the date received. Do not rewrite secondhand information as if you personally observed it. Labeling should separate what you saw firsthand from what was reported to you.

If you are maintaining multiple samples from similar-looking material, assign separate numbers from the beginning. Combining them under one label may feel efficient, but it can ruin useful distinctions later. Two mushrooms from the same patch can differ in maturity, condition, contamination, or even species. It depends on your goal: a casual reference collection may group material more broadly, while microscopy or taxonomic work needs tighter separation.

Storage Labels Need Maintenance Too

A correct label can still fail if storage conditions destroy it. Check your archive periodically for fading ink, insect damage, moisture, and detached labels. Replace damaged labels immediately, but preserve the original accession number. Never create a new number just because a label has worn out.

Store dried fungal specimens in dry, pest-resistant containers. Add a desiccant only if it does not touch the specimen directly, and monitor it so it does not become a forgotten source of moisture. Keep packets upright or flat in a way that prevents crushing. For slides and cultures, use storage boxes with clear position codes so a container can be found without handling every item.

Do not make labels more dramatic than the evidence supports. A bold strain name, a claimed potency, or an unverified species determination can create confusion and safety problems. If the identity is uncertain, say uncertain. If the source history is incomplete, say source history incomplete. Accurate uncertainty is better science than false confidence.

Collection also comes with boundaries. Follow local rules for foraging and collecting on public or private land, avoid protected areas and threatened species, and never use a label as proof that a mushroom is safe to consume. A specimen label supports identification work. It is not an edibility certification.

The best fungal archive is not the one with the most packets. It is the one where every packet can answer a simple question months or years later: what is this, where did it come from, and what do I actually know about it? Start each new specimen with that discipline, and your collection stays useful instead of becoming a box of unnamed mysteries.
